0.4 Send a Client Intake


The days of asking your clients to "arrive 15 minutes early to do paperwork" are over! You can use the Client Portal to send your intake documents to your clients right after they schedule their appointment. Customize your intake documents or test out the system right away by sending an intake to the Johnny Appleseed client so you can see how it works.


With the Johnny Appleseed client, you can test out the Client Portal by sending a sample intake to yourself. If you haven’t already activated your portal, head to your My Account > Settings > Client Portal page and toggle the switch to ON. Then, set your unique Client Portal URL.

To share your sample intake, begin by heading to Johnny's client account and clicking Share New on the right side column. (Note: you may need to check the Email OK box on the client's Edit Client Info > Basic Info first). When the green Share window opens, the documents in your Intake Packet will be pre-checked so that you can send them easily. Click Send and wait for the invitation to arrive in your email inbox. You can then review and sign your intake documents just like a client would!


You can customize the documents that your clients receive in the Client Portal to fit your practice. You can either edit the sample documents or input your own. Begin by heading to your My Account > Settings > Client Portal > Shared Documents and Files page. There are two ways to populate documents: input them directly into the system or upload a PDF document for sharing. Documents input directly into the system are able to be electronically signed by clients. You can enter your text by clicking +Add. You can also edit the existing documents by clicking Edit next to the document's description. PDF documents are able to be downloaded by the client but not electronically signed. You can upload your PDF by clicking Upload PDF. All of the documents that have the Include box checked will be included in your Intake Packet

You can share these with your existing clients using the same method as sending the sample intake to yourself.
