Send a client intake


The days of asking your clients to "arrive 15 minutes early to do paperwork" are over! You can use the Client Portal to send your intake documents to your clients right after they schedule their appointment. Customize your intake documents or test out the system right away by sending an intake to the Johnny Appleseed client so you can see how it works.

Activating the Client Portal

With the Johnny Appleseed client, you can test out the Client Portal by sending a sample intake to yourself. First, you must activate your client portal if you haven't already done so. Here's how:

  1. Log into your SimplePractice account.
  2. Click My Account > Settings > Client Portal.
  3. Select On, then set your unique Client Portal URL.

Sending a sample intake to yourself

Now you are ready to test out the process by sending a sample intake to yourself. Here's how:

  1. Navigate Johnny Appleseed's client page by searching for him in the client search bar.
  2. Click Share New on the right side column. (You may need select Email OK on the client's Edit Client Info > Basic Info first.)
  3. When the green Share window opens, the documents in your Intake Packet will be pre-checked so that you can send them easily.
  4. Click Send and wait for the invitation to arrive in your email inbox.
  5. Review and sign your intake documents just like a client would!

Customizing your intake documents

You can customize the documents that your clients receive in the Client Portal to fit your practice. You can either edit the sample documents or input your own. Here's how:

  1. Log into your SimplePractice account.
  2. Click My Account > Settings > Client Portal > Shared Documents and Files. There are two ways to populate documents:
    • Upload a PDF document for sharing, or
    • Enter your own text directly into the system. Documents input directly into the system can be electronically signed by clients.
  3. Click +Add to enter your own text.
  4. To edit the existing documents, click Edit next to the document you want to change.
  5. Click Include next to the documents you wish to send in your Intake Packet.

You can share these documents with your existing clients using the same method as sending the sample intake to yourself. Once you have these documents created and saved in your intake library, you will be able to send them to your clients anytime you want. 

Note: PDF documents are able to be downloaded by the client but not electronically signed. You can upload your PDF by clicking Upload PDF.
