Changing an appointment status

No-shows, Cancellations, Late Cancels

You can set the appropriate status to an appointment to indicate if the client has shown up as planned, cancelled, late cancelled, or no showed.

If the session has passed and there is already an invoice generated, you will need to delete the invoice first to change the status. 

Each status that is selected will produce specific actions related to billing. The status types are described below. 


SHOW
When creating an appointment in SimplePractice, the appointment status is set to SHOW. This indicates that unless changed, the client will be at the appointment and will be billed the fee associated with the appointment.

CANCELLED
If the client cancels the appointment far enough in advance where she/he will not be billed, then you can set the status to CANCELLED. When status is set to CANCELLED, this appointment will not be treated as a billable event and will not appear on the BILLING DETAIL page for the client and will not appear on Statements or Superbills.

LATE CANCELLED
If the client cancels the appointment outside the window allowed for a regular cancellation, you can change the status to LATE CANCELLED. This indicates that the client will be billed for the session. The session and the session fee will be visible on the BILLING DETAIL page and will be included in a Statement. The session will not be included on the Superbill as you are not permitted to bill insurance for sessions that did not occur.

If you would like to include the LATE CANCELLED session on a client Statement but not charge for it, you can EDIT the session fee and change it to zero.

NO-SHOW
In the event a client does not show up for a scheduled appointment, you can change the appointment status to NO SHOW. This indicates that the client will be billed for the session. The session and the session fee will be visible on the BILLING DETAIL page and will be included in a Statement. The session will not be included on the Superbill as you are not permitted to bill insurance for sessions that did not occur.

If you would like to include the NO SHOW session on a client Statement but not charge for it, you can EDIT the session fee and change it to zero.
