Managing tasks through the Tasks tab

You can track action items for yourself or your team through tasks. You can access the Tasks tab on the left navigation menu.

Note: Tasks are known as custom reminders on mobile.

Creating tasks

To create a task:

  1. Navigate to the Tasks tab
  2. Click Create task

  1. Add a Task name
    • There’s a 500-character limit for the name

Important: Don’t add PHI to the task name. Task names appear in email reminders when a task is completed. PHI can be entered in the Description field and/or Client dropdown.

  1. Enter a Description
  2. Click the calendar icon to choose a due date, if needed
    • You can also enter a time

  1. Use the dropdown menus to select a Priority and Client if applicable
  2. If you’re in a group practice, choose an assignee from the Assigned to dropdown
  3. Under Attachments, click Choose file or drag and drop to upload attachments
    • You can upload up to 20 attachments (50MB max total size)
  4. Click Save

You can also click + Add quick task to add a task name without additional details.

  • Press Enter or Return to create and save the quick task

To add additional details later, select the task to open the flyout.

New tasks will appear at the top of the list. To reorder tasks:

  1. Hover over the task
  2. Click the six dots to the left of the task
  3. Drag the task up or down

Note: You can also create tasks from an inquiry for a prospective client. For details, see Navigating the Inquiries page.


Editing tasks

You can edit incomplete tasks as needed. To edit a task:

  1. Click anywhere on the task box to open the Edit task flyout
  2. Edit the task
  3. Click Save
  4. Press Return or Enter to save

You can also quickly edit a task name by clicking the text directly in the Tasks tab and typing your changes.

Note: To edit a completed task, unmark it as completed first.


Viewing and sorting tasks

Use the search bar to find a task by typing any part of the task name.

You can filter tasks using the Incomplete filter to view All, Incomplete, or Completed tasks.

Use the Assigned to you filter to view tasks by assignee.

You can also sort tasks using the dropdown in the upper right corner by Custom, Due date, Date created, or Priority.

Completing tasks

To mark a task as Completed, click the empty circle to the left of the task.

The circle will turn green with a white checkmark and the task moves to the Completed list.

To view the date a task was marked completed, use the dropdown to view Completed tasks and find the task. The completion date will appear under the task name.

To view the exact time the task was completed, click the task to open the task flyout. The time will appear at the bottom of the task.

Deleting tasks

To delete an incomplete or completed task:

  1. Click the task
  2. Select Delete task from the flyout

FAQs


How are team members notified of their assigned tasks?

Note: Email notifications for new tasks are only generated for group accounts. Solo accounts do not generate task assignment emails.

Team members receive an email reminder with the subject line You’ve been assigned a task when another team member assigns a task to them. They can click View task from the email to open it.

They’ll also receive notifications in the Notifications tab of the left navigation menu.

The task creator receives an email when the task is completed. They can click View task in the email to see more details.


Who can see my tasks or tasks assigned to me by other team members?

You can only see tasks you create for yourself on your Tasks tab. If you’re in a group practice and another team member assigns a task to you, it will appear in both your and the assigning team member’s Tasks tabs.

To view who assigned a task to you, click the task and look for the name next to Created by.
