You can create tasks for your practice and use the Tasks tab as a to-do list.
Note: Custom reminders are now tasks and moved to the Tasks tab of your account.
In this guide, we’ll cover:
Creating tasks
To create a task:
- Navigate to the Tasks tab
- Click Create task

Add a Task name
- There’s a 500 character limit for the name of the task
Important: Don’t add PHI in the task name since task names are added to email reminders when a task is completed. Instead, you can include PHI in the Description field and/or Client dropdown.
- Enter a Description

Click the calendar icon to choose a due date, if applicable
- You can also enter a time for when the task is due

Use the dropdown menus to select a Priority and Client, if applicable
- Click the X next to the client to unselect the client

If you’re in a group practice, you can use the Assigned to dropdown menu to assign to a team member
- Click the X next to the team member to unselect them
Note: When a team member is assigned to a task, they’ll also receive an email reminder about it. To view the task in your account, click View task.

Under Attachments, you can click Choose file or drag and drop a file to attach to the task, if applicable
- You can attach up to 20 attachments with a max upload size of 50MB
- Click Save
You can also click + Add quick task to quickly add a Task name without additional details.
- Hitting Enter or Return on your keyboard will automatically create and save the quick task
To add additional details to the quick task, click the task to open the flyout.
New tasks will automatically be added to the beginning of the list. To reorder them:
- Hover your cursor over the task
- Click the 6 dots to the left of the task
- Drag it up or down to move its position
Editing tasks
You can edit incomplete tasks as needed. To do this:
- Click anywhere on the task box to open the Edit task flyout
- Edit the task as needed
- Click Save
To quickly edit the task name in the Tasks tab, you can also click the task text and type to edit.
- Hit Return or Enter on your keyboard to save
Note: To edit a completed task, unmark it as completed first.
Viewing and sorting tasks
You can search for a specific task by using the search bar in the upper left corner. To do this, begin typing in the search bar.
To exit the search, click the X in the search bar.
You can use the Incomplete filter to view All, Incomplete, or Completed tasks.
You can use the Assigned to you filter to view tasks by assignee.
You can use the dropdown menu in the upper right corner to sort by Custom to order manually, or by Due date, Date created, or Priority.
Completing tasks
To mark a task Completed:
- Click the empty circle to the left of the task
- When completed, the circle will turn green with a white check mark and automatically move to the Completed list
To view the date the task was marked Completed:
- Use the dropdown menu to view Completed tasks
- Find the task in question
- The date the task was marked completed will appear under the task name
To view the exact time the task was marked Completed:
- Click the task to open the flyout
- The time will appear at the bottom of the task
Deleting tasks
To delete an incomplete or completed task:
- Click the task
- On the flyout, select Delete task
- On the modal, click Delete

How are team members notified of their assigned tasks?
Team members will receive an email reminder with the subject line You’ve been assigned a task as soon as another team member assigns them a task. Team members can click View task from this email to view it in their account.
They’ll also receive notifications in their Notifications tab in the left navigation menu about their newly assigned tasks from other team members.
To mark a notification as read, the team member can click the notification to view the task on the Tasks page. They can also manually mark the notification as read. For more information, see Navigating notifications.
The creator of the task will receive an email that the task has been completed. To view more details on the task, they can click View task in the email.
Who can see my tasks or tasks assigned to me by other team members?
You can only see any tasks that you create for yourself on your Tasks tab. If you’re in a group practice and another team member assigned a task to you, this task will appear in both your and the assigning team member’s Tasks tabs.
To view who assigned a task to you, click the task in question and find the team member’s name next to Created by.
