Getting started with the SimplePractice for Clinicians app

Important: The SimplePractice for Clinicians app is available on iOS and Android. There’s also a new SimplePractice Clinician app on iPhone and iPad, which has an updated design, additional features, and is fully compatible with iPads.

The SimplePractice for Clinicians app lets you take your practice on the go. It can be used for taking notes between appointments, processing credit card payments, sending Secure Messages to clients, and more.

Devices supported by the SimplePractice for Clinicians app

You can download the SimplePractice for Clinicians app for iOS and Android for free:

Note: We also recommend using recent models of these devices, as iOS, Android, and SimplePractice may periodically discontinue support for older devices.


Features available on the SimplePractice for Clinicians app

Note: If you’re using the new SimplePractice Clinician app on iOS, see Features available on the SimplePractice Clinician app.

The SimplePractice for Clinicians app has many features that can help with the day-to-day management of your practice. However, some other features can only be accessed from the browser version of SimplePractice.

Using the SimplePractice for Clinicians app on an iPad or Android tablet

Tip: If you're using an iPad, we recommend downloading the new SimplePractice Clinician app, as it’s designed to be fully compatible with iPads. To learn more, see Using SimplePractice on an iPad.

If you're using an iPad or Android tablet, you have the option of accessing the browser version of SimplePractice from your browser or downloading the SimplePractice mobile app.

To create a shortcut that'll help you quickly navigate to the SimplePractice sign-in page on your tablet, follow the instructions below:

  • On an iPad:
    • Open Safari and go to the SimplePractice sign-in page
    • Create a shortcut by tapping the Share icon in the upper left corner of Safari
    • Tap Add to Home Screen
  • On an Android Tablet
    • Open your browser and go to the SimplePractice sign-in page
    • Select the menu button 
      • On most Android devices, this is the three dots at the top of your screen

You'll see a SimplePractice shortcut on the home screen of your iPad or tablet alongside your other apps. If you tap this shortcut, you'll be directed immediately to the SimplePractice sign-in page.

You can also download the SimplePractice for Clinicians app through your iPad's App Store or the Google Play Store on your Android tablet. Keep in mind that the mobile app was designed for a smartphone, so the functionality and experience will be the same on a tablet as it is on a phone. There is currently no iPad or tablet version of the SimplePractice for Clinicians app.

Tip: The Telehealth by SimplePractice mobile app is compatible with tablets and iPads


Security on the SimplePractice for Clinicians app

You can expect the SimplePractice for Clinicians app to have the same level of security as our website. To learn more about how we maintain the security of your data, see SimplePractice Trust and Security.

Through our Security Checkup feature for the mobile app, you can see how secure your mobile device is, along with tips on how to improve your device’s security.

To perform a security checkup:

  • Open the SimplePractice mobile app
  • Tap the three stacked lines in the upper left corner
  • Tap Security Checkup

The recommendations to improve your device’s security are based on:

  • Your device’s operating system version
  • The version of the SimplePractice for Clinicians app
  • Your Touch ID/Face ID (iOS) or Fingerprint ID (Android) settings
  • Your Screen lock settings
  • A Jailbroken device check (iOS) or Phone Security check (Android)

If there’s an area of improvement for your device’s security, you can view the details by tapping the arrow on the issue:

Creating new appointments on the SimplePractice for Clinicians app

You can create a new client appointment on the SimplePractice for Clinicians app. To do this:

  • From the Calendar, tap + > Create Appointment

  • Tap Client and choose a client
    • If you want to add a new client, select + after tapping Client and enter the new client’s information
  • Select the appointment’s Location and Clinician
  • Tap Time Duration to select the appointment date, Start Time, and Duration
    • You’ll also be able to view how your appointment will appear on the calendar based on your selections

  • Click Save
  • Tap Repeats to set this as a recurring appointment
    • You can choose a set duration (i.e. Every Week) or a custom duration
    • You’ll also be able to select when the appointment will end
  • Tap Alert if you want to receive a notification for this upcoming appointment
    • Choose when you’ll receive the alert based on the duration up to the appointment start time (i.e. 1 hour before the appointment starts)
  • Tap Billing to adjust the service, rate, and modifiers
    • Select Add Service if you’d like to add an additional service to the appointment
  • Select Save in the upper right corner to save your new appointment

To move an appointment to a new time, you can hold and drag the appointment in the Day view on the Calendar tab:

To edit an appointment’s details, tap the appointment in the calendar and select the pencil icon.

This will take you to the same fields you customized when you created the appointment. Make any necessary changes and tap Save to update the appointment.

Adding documentation to an appointment on the SimplePractice for Clinicians app

After adding an appointment, you’ll have the option to add a progress note, a psychotherapy note, and/or upload appointment files.
To add a progress note or psychotherapy note to an appointment on the app:

  • Tap the appointment in the calendar
  • Under Notes, select Add Progress Note or Add Psychotherapy Note

  • If you’re adding a progress note, tap the arrow next to Template to view your template options

  • Fill out your progress note or psychotherapy note, as needed
    • You can tap Load Previous Note to pull in the note from their previous appointment
  • Tap Save

To upload files to an appointment in the app:

  • Tap the appointment in the calendar
  • Select Attachments

  • Tap + and choose from the following options: Scan Document, Take Photo, Choose From Library, or Import File From…

Manually sending appointment reminders on the SimplePractice for Clinicians app

To send an appointment reminder on the SimplePractice for Clinicians app:

  • Tap the Calendar tab at the bottom of the screen
  • Select the appointment
  • Tap the link icon

  • Choose Copy Link if you want to manually send the reminder to the client yourself, or Send Reminder if you want to send it through your SimplePractice account

  • If you chose Send Reminder, toggle on Text reminder and/or Email reminder to confirm how you’d like to send the reminder to your client
  • Tap Send

Filtering your calendar on the SimplePractice for Clinicians app

Note: Our advanced calendar filtering options aren’t available on the SimplePractice for Clinicians app.

There are a couple ways to filter your calendar on the SimplePractice for Clinicians app.

Changing calendar dates

When navigating the calendar in the SimplePractice for Clinicians app, you can change dates by either:

  • Tapping on specific days at the top of the screen
  • Swiping left or right to go back or forward a day, respectively

To return to today’s date, tap Today:

Choosing between Daily, Monthly, and Schedule views

By default, the calendar in your app will display today’s date in the Day view, as indicated by the toggle at the top of your calendar. You can tap Month or Schedule to change the view:

The Schedule view is unique to the mobile app, and can be used to view a list of your appointments each day without seeing free spaces on the calendar.

Note: Filtering by clinician is only available on the new SimplePractice Clinician app for customers on the Plus plan. To learn more, see Which subscription plan is right for me?


Enabling and disabling push notifications on the SimplePractice for Clinicians app

Push notifications on your mobile device can notify you of important details about your practice, such as new appointment requests or Secure Messages. 

To enable or disable push notifications within the SimplePractice for Clinicians app:

  • Open the SimplePractice for Clinicians app
  • Tap the three stacked lines in the top left corner
  • Select Settings > Push Notifications

  • Tap Appointment Alerts, New Message, and Appointment Requests Alerts to check or uncheck, as needed

To navigate to a client’s Overview page on the SimplePractice for Clinicians app:

  • Tap the Clients tab at the bottom of the screen
  • Search for the client
  • Tap their name

From the client Overview page, you can:

You can also tap + on the upper right and choose to Add Payment, Create Appointment, or Share New Document(s).

By tapping the pencil icon at the top of the client’s Overview page, you can also view the client’s Details, Billing & Insurance, and Contacts pages:

We’ll break down each of the pages you can access below:

Details

From the Details tab, you can customize the following:

  • Client name
  • Demographic information
    • Birth date
    • Sex
    • Gender identity
    • Relationship status
    • Employment status
    • Race & Ethnicity
    • Preferred Language
    • Referral source
    • Date First Seen
  • Contact Info
    • Phone number(s)
      • If you tap their phone number, you can toggle if voice and/or text reminders are enabled
    • Email address(es)
      • If you tap their email, you can toggle if email reminders are enabled
    • Physical address(es)
  • Administrative
    • Primary clinician
    • Clinicians granted access
    • Appointment location

You can also toggle whether: 

  • The client is Active
    • Toggle this off to make the client Inactive
  • The client is a minor
    • To set the client as a minor, toggle this on

Billing & Insurance

From the Billing & Insurance tab, you can customize the following:

Contacts

If you tap Contacts, you can add and view the contacts associated with the client:

To add a contact:

  • Tap Add Contact
  • Search for the name of the client/contact you want to add as a contact and select their name
    • You can also tap + to add a new contact

  • Enter the client’s details
  • Tap Save

Note: You can’t edit contact information from this page. To edit contact information, navigate to the Clients tab and search for the contact you want to edit.


Adding payments on the SimplePractice for Clinicians app

You can add payments on the SimplePractice for Clinicians app from the client’s Overview page or an appointment on the calendar.

From the client’s Overview page

To add payments from a client’s Overview page:

  • Tap the Clients tab at the bottom of the screen
  • Search for the client
  • Tap their name

Note: Under the Billing & Insurance section of a client’s Overview page, you can tap Client Balance or All Invoices to view any unpaid invoices.

  • Select + > Add Payment

This will take you to the page to check which Invoices to Charge Client. Starting from this page, follow the steps below:

  • Select Edit to check which invoice(s) you want to add the payment to
    • Once you’ve selected the invoice(s), tap Save
  • To add a partial payment, tap Add Partial Payment under the relevant invoice and enter the amount

  • Select Continue to Payment
  • Tap the payment method to update the payment method, if necessary
    • If the client has credit, this will automatically be applied to the payment
      • If the credit can fully cover the invoice, you won’t be able to select a payment method
    • You can toggle Client Credit off to select a payment method and charge the client instead

  • Review the payment amount under Confirm Payment Amount

    • You can tap the payment amount to edit, if necessary
    • If the payment is greater than the invoiced amount, there’ll be an Overpayment, which can be used as a credit for future charges
  • Tap Confirm payment

From the appointment in the calendar

To add a payment for the appointment from the calendar:

  • Select the Calendar tab at the bottom of the screen
  • Tap on the appointment
    • If the appointment doesn’t have an invoice yet, tap Create Invoice and Add Payment
    • If the appointment does have an invoice, tap Add Payment

These steps will take you to the Invoices to Charge Client page. From here, follow the steps to add a payment from the client’s Overview page.


Adjusting appointment fees on the SimplePractice for Clinicians app

From the appointment page, you have the option of changing the fee for each appointment. To do this:

  • Select the Calendar tab 
  • Tap the appointment 
  • Select the pencil icon on the top right of the screen
  • Tap Billing

  • Select Total rate

    • Tap Rate per unit if unit billing is enabled for the service
  • Enter the new fee and select Done
  • Choose Save

Note: Copays for insurance appointments can only be edited through the browser version of SimplePractice. To learn more, see Copay/Coinsurance.

If the fee for an appointment with an existing invoice is increased, the option to Create invoice and Add Payment will reappear on the appointment page. Using this option will create a new invoice and payment for the additional amount.

If the fee for an appointment with an existing invoice is decreased, a new invoice reflecting the rate adjustment can’t be created on the mobile app. You can use the browser version of SimplePractice to create a new fee adjustment invoice.


Using reminders on the SimplePractice for Clinicians app

Note: On the browser app, automated reminders are known as notifications. To learn more, see Using practice notifications.

You can view automated reminders from the SimplePractice for Clinicians app. To do this, select the Reminders tab at the bottom of the screen:

Some reminders will apply to multiple clients or appointments (i.e. here is more than 1 appointment with missing notes). To view each of the impacted clients or appointments, tap the reminder.

You can also hide a reminder by swiping left on the task and selecting Hide:

Note: Hiding reminders will permanently remove them for the entire practice.


Sending Secure Messages on the SimplePractice for Clinicians app

You can send Secure Messages to clients, contacts and team members through the SimplePractice for Clinicians app.

To start a new conversation:

  • Select the Messages tab at the bottom of the screen
  • Choose +

  • Tap Search
  • Enter the name of the client, contact or team member
  • Select their name

  • Type your message, then tap the arrow to send

To continue a conversation:

  • Select the Messages tab
  • Tap the name of the individual you’d like to message

Note: You can only adjust your away message settings for Secure Messaging on the browser version of SimplePractice. For more information, see Is the away message for Secure Messaging feature available on the mobile app?


Troubleshooting on the SimplePractice for Clinicians app

If you're experiencing issues while using the SimplePractice for Clinicians app, we recommend trying these troubleshooting steps:


Clearing your cache and syncing with your account

These steps allow the SimplePractice for Clinicians app to refresh and sync with existing data in your SimplePractice account.

To clear your cache:

  • Tap the three stacked lines on the left side
  • Select Settings > Clear Cache

To sync your account:

  • Tap the three stacked lines on the left side
  • Select Sync your account

Note: Load times will vary depending on your network connection and how much data you have in SimplePractice.


Updating your SimplePractice mobile app

We recommend keeping your SimplePractice for Clinicians app up-to-date for the best experience.

To update the SimplePractice for Clinicians app on iOS:

  • Open the App Store
  • Search for SimplePractice for Clinicians
  • Tap Update

Note: If your SimplePractice app is already up-to-date, the button will show Open rather than Update.

To update the SimplePractice app for Android:

  • Open the Google Play store
  • Select the SimplePractice for Clinicians app
  • Tap Update

Checking and updating your device/OS version

If you're experiencing technical difficulties while using the SimplePractice for Clinicians app, check whether you have a compatible device and operating system (OS) version. Here are the minimum requirements for mobile devices:

Tip: To see whether your device is compatible with iOS 16, see iOS 13 and iPadOS are compatible with these devices. If you aren't sure what iPhone device you currently own, see Identify your iPhone Model.

If you’re unable to resolve the issue after following the steps above, please reach out to our Customer Success team by navigating to SimplePractice with a web browser on your mobile device (e.g. Safari). In the web browser, click the ? icon and submit a help request.
