Adding color coding for therapy rooms
AnsweredHi, since you have added the ability to have group practices within Simple Practice by adding the ability to add clinicians, I love the idea of being able to have an all-in-one through SimplePractice in which we could use some sort of color coding system to identify therapy rooms and assign clinicians to rooms on the calendar. I've heard from many other group practice owners and many use an excel spreadsheet or google docs to track which clinicians use which rooms. This is time consuming and inefficient. SimplePractice already does everything else for our practice. Sure would love the ability for this feature so everything is within one place.

Hi Angel, I'd be happy to help with this. What I'd recommend doing is adding each therapy room as an Office Location under My Account > Settings > Practice Details. Then, each clinician can indicate which room they're using, and these appointments will be color-coded on the calendar.

Thanks for your reply Gillian. The problem with using Simple Practice calendar for a group practice in this fashion is that you have to click on each calendar item to determine which office is open. In my practice of 10 counselors, we all share rooms (different rooms for different types of therapy- i.e. play room, activity room, family room.) On the simple practice shared calendar the entries are reduced too greatly and thus unusable without opening up each entry. We had to go back to google.

We are using it they way you proposed but also have to utilize a google calendar for functionality. But, it would be nice to be able to run analytics on the room usage. For example, we have 6 rooms total: two of which are play therapy rooms, 2 are adult/sand tray, 1 is an adolescent room and one is a family room. It would be nice to be able to determine by analyzing the client attendance against the setting data. We could gleam which rooms are used comparatively at what percentages. It may impact us changing some of our rooms to match the highest demand on our services.

There are a lot of reasons that Simple Practice needs to add a feature of having different ROOMS within the LOCATION. A practice with one location but several rooms within it might have therapists who share an office, and without having a rooms feature, therapists can accidentally both book the same room at the same time. WHen it happens, it's embarrassing for the practice and frustrating for both the clinicians and the clients.

I second Cheryl. Using different office locations really isn't a reasonable substitute for actual rooms within an office. It is difficult to distinguish the colors. Also, It's not efficient because you have to spend extra time opening each office to check availability. Our practice has 10+ rooms and this just isn't an effective solution. Please consider adding a feature to the calendar that handles rooms assignment within a single office.
