Adding two clinicians for one client

Hi Hannah, I'd be happy to help with this. First, you'll want to grant both clinicians access to the client under View/edit client info. You'll select the Primary Clinician from the drop-down menu, then check the Secondary Clinician to grant them both access. It should look like this under View/edit client info > Clinicians:

Next, set up your Appointment Reminders so that the clinician's name auto-fills into the text of the reminder. Under My Account > Settings > Client Reminders, click "Customize this email," then, use the drop-down menus at the top to include the macro {clinician_full_name} in the reminder.

Let's say your sample reminder reads this way:

    "Hi {client_first_name},

This is a reminder that you have an appointment with {clinician_full_name} at {appointment_time} on {appointment_date}."

    Reminders will read as follows:

    "Hi Johnny,

This is a reminder that you have an appointment with Gillian Wu at 11:00 AM (PDT) on Monday, October 29th."

Let me know if that helps with your question.

Does the primary clinician get the billing status ? Also if the primary is the supervisor can the supervisee be on the reminder ?

Hi Sharon, the primary clinician is the clinician whose information will be listed on all billing documents. Currently, only one clinician can be named in a reminder at one time.

Hi Gillian - I want to make sure I'm understanding correctly. I also have multiple clinicians working in my practice and want to make sure the appointment reminders accurately reflect which clinician the client has an appointment with. When I follow your instructions above, I can change the default setting to indicate "clinician full name" but when I save the change it shows my name (I'm the business owner). Will the actual reminder reflect whichever clinician is assigned to the particular appointment? Or will all reminders, regardless of clinician, show my name? Or will the reminder show the Primary clinician only, even if the appointment is scheduled with a secondary clinician?

    Thanks!

Hi Lisa, the appointment reminder will show the name of the clinician that the appointment is scheduled with - the preview will show your name as an example.

When will there be a function to create just one client but separate the billing?

Currently we have quite a few clients who start with one therapist then move to another or clients who see multiple therapists for different things. This creates a ton of very redundant work for administrative staff who need to create and keep current multiple accounts for the same client. All of our therapists are independent contractors.

Hi Tiffany, there's no need to create multiple accounts for the same client. You can, under "edit info," grant additional clinicians access to the one client's profile, or change the primary clinician. Let me know if that helps or if I'm not understanding your question correctly.

We were told previously we would need a different account for each therapist because they are independent contractors. So for insurance claims and for determining income if we were to use just one account per client how would all the claims and billing remain separate when we go to pay our therapists?

Hi Tiffany, thanks for the additional context regarding the structure of your practice. Right now, clients and client records cannot be transferred between separate SimplePractice accounts.

Please consider a feature to link accounts. We now have 2-4 accounts for many of our clients that see multiple therapists or transfer from one to another. It has become impossible to keep the demographics and address and phone number changes or client balances straight with our volume of 14 therapists. Our patients hate it as well. They should have one account. PLEASE figure out a way to "Link" accounts so that any changes to the demographics, insurance, ect will be changed on all accounts while maintaining separate, therapist specific billing. Or a way to make ONE patient and separate out all the billing by therapist would be ideal.

Hi Tiffany, thank you for the suggestion on how to make SimplePractice even better. We're always considering how to better support you and your practice - we appreciate your candid feedback.

Hi! I'm hoping to use the telehealth link for supervision with two supervisees. Wondering if all three of us can log in to the same appointment/session, if they are scheduled for the same time.

Hi, I would like my supervisee to observe an intake appointment with a client. Can two clinicians log on to the telehealth link?
