Questions
AnsweredHi,
I just finished my complimentary consultation and it was recommended that I write in on a few questions I had that were unable to be answered on the call.
1. I do a lot of my business with online groups with multiple people calling in at one time. Can I use your telehealth platform for mulitple people to call in at one time to a meeting?
If so is there a limit to the number?
2. I do several group type services where I need multiple people to be able to book themselves through online booking into 1 time slot. Does your system have this capability?
3. Can I turn off the online booking function that sends me a request to accept when a client books online? Is this only for new client appointments or for all appointments?
It was recommended that a groups specialist or a product specialist help me with these questions.
Thank you,
-
Hi Alice,
I'd be happy to answer your questions this afternoon. I'm going to answer them in order below so it's a bit easier to read.
1. I do a lot of my business with online groups with multiple people calling in at one time. Can I use your telehealth platform for mulitple people to call in at one time to a meeting?
SimplePractice’s Telehealth platform does not currently support group and couple’s sessions. We are actively working toward this functionality.
2. I do several group type services where I need multiple people to be able to book themselves through online booking into 1 time slot. Does your system have this capability?
Currently, we do not have a way to book group sessions in the Client Portal, however, you do have other ways to book a group session in your SimplePractice account.
What I suggest to do is enter all of the clients separate, and after you add each client you can easily schedule whichever clients you need in that group session for the same time and date. I have some super helpful articles that can guide you through how to create these sessions below:3. Can I turn off the online booking function that sends me a request to accept when a client books online? Is this only for new client appointments or for all appointments?
Our system does not have a way to auto-accept appointments and send an attached welcome email. We do this for all appointments because we want to reduce the amount of accidental-bookings and a clinician taking an appointment when they may not be available.
Please let me know if I can answer any other questions for you.

Melinda,
I just read your response regarding group telehealth above. Can you please confirm if I am understanding:
Example: 4 clients in a group
- Schedule them all at the same time individually for the group appointment.
- Make one of them a 'telehealth' appointment and the rest 'in person' in order to generate one telehealth appointment link.
- Manually send each client the link to join the session.
If that is correct I have 2 follow up questions...
- Is this still HIPAA compliant to use/share a telehealth link created in one user account with multiple users at the same time?
- Can the account used to generate the telehealth link be a 'dummy' account for the sole purpose of generating the link and then all clients would be scheduled the same and manually sent the link?

Hi Gillian- I wanted to check in to verify that as of today's date there is not a means to have a client and their spouse/parent participate in a couple/family session using the Simple Practice telehealth platform where they can each join in from their own respective location? I was hopeful that with most of us converting to virtual appointments this may be resolved by now. Thanks!

Hello!
Can I turn off the "must call" to set appointments? I rather clients set appointments without calling me due to my high demand session time. I will end up missing the opportunity to schedule them if they have to call me. I do not mind accepting request but I am just swamped with sessions that I do not want to go through calls. Please help!

Hi everyone,
We sincerely apologize for the time it's taken to address this post.
To give you some context around our support processes, our Customer Success Group has been inundated with requests since the start of the COVID-19 pandemic. We're currently working on how to efficiently respond to Community Forum posts during these unprecedented times. However, the quickest way for you to get in touch with us directly regarding questions with your account or your clients is by submitting a SimplePractice Help Request Form. You can also reach us on our Live Chat feature, offered Tuesday - Thursday, 7am - 6pm PT (learn more here).
To answer the general questions that have been posed here:
- We're pleased to share that we now support Telehealth with 2 clients in different locations. To learn more, check out this resource: Enhanced Client Management for Couples.
- We do not currently support Telehealth for more than 3 parties (including you). And for security reasons, we do not recommend sharing a single client's Telehealth link with other parties. However we can provide an alternative workflow for those who need a larger group workflow. Please feel free to reach out to us directly from your account if you'd like more information on this.
- There are two settings you can review regarding requiring clients to book appointments: (1) Settings > Client Portal > Clients must 'Call to Book' within setting, and (2) Settings > Billing and Services > Services > review the call-to-book setting for each service.
- There is not a way to have clients book themselves for the same time slot on your Calendar for group therapy, as once the time slot is booked by one client, Online Booking will see that the time slot is full. For information on using Telehealth for groups, feel free to email us from your account for more information.
- To enter a one-time payment using our Online Payments feature, check out this Help Center guide: How to charge a client.
Although we're periodically monitoring the Community Forum and plan on improving our response times to questions posed here, this is also a place for customers to exchange ideas and engage with one another on how to best use our platform. Thank you all for acting as resources for each other in the meantime.
