Psychotherapy note v administrative note

Hi - I am wondering if anyone can shed light on the difference between “psychotherapy note” and “administrative note” in regards to a client record? I tend to use the psychotherapy note for documenting messages received or calls from the client, parent, or other providers about the client. Both the psychotherapy note and the administrative note are described as “kept separate from the record” or “not part of the medical record”, but i don’t completely understand what is meant by that.  Could someone elaborate on this for me?

    Hi Rachel, I'd be happy to help. Psychotherapy Notes are a great place for you to enter your longform thoughts and feelings regarding a session, and cannot be seen by your biller or scheduler. While they aren't a part of the client's medical record, they can potentially still be subpoenad. The Administrative Note is a great place for reminders about client billing or insurance. If you have a biller or scheduler in your account, they can see your Administrative Notes.

    Is there a way to upload documents into the “psychotherapy “ notes section. I would like to write my process notes on my iPad using my Apple Pencil and then was hoping to upload in this section that’s kept separate from the chart

    Hi Paola, it is not currently possible to upload documents to the Psychotherapy Note section, however, you can use an outside handwriting-to-text conversion app then copy and paste your text into the Psychotherapy Note section. We don't directly endorse any 3rd-party handwriting-to-text conversion apps, however, I'd recommend looking for one that does not send data to the cloud to keep your client notes secure.
