Appointment Reminders for Couples and Families - Minors

Our practitioners want couples and families kept together, under one record, in SP. This has presented a difficult situation for appointment reminders. Sometimes, when a couple checks out, they may make as many as three different appointments, one for the wife, one for the husband and one as a couple. So, there's no way, to my knowledge, to simply toggle off the appointment reminder for one of the individuals in the couple. Anybody else deal with this? How do you handle that situation. Same question for family therapy when different people in the unit come in for multiple, separate sessions.

Secondarily, for minor clients, who are 16 and older, who gets the appointment reminder? The minor or the parent or both?

    In the current functionality of SimplePractice, it's best to add each family member as a separate client in your account in order to ensure that each receives the correct individual reminder when appropriate. 

     

    You can connect couples appointments using the couples appointment feature when they are seen together and they will receive their own appointment reminders when scheduled separately: Creating couples appointments

     

    When families are scheduled for a group appointment, it's best to schedule simultaneous individual appointments: Creating group and family appointments

     

    In the case of minor clients, you can select which phone number you would like reminders to be sent to from their Client Info settings:

    For a minor client whose parents are divorced, is it possible to send appointment reminders to both parents?  The minor is the client but both parents want to be notified when the minor has an appointment.

    I have a minor whose parents are divorced. Each parent wants their own consent forms. How can I send consent forms to each of them through the portal separately? Additionally one parent is financially responsible for the sessions. Is there a way to tie billing and invoices to the email of one parent, vs. having it sent to client or/and parent #2?

    How to add a minor Client who does not have an email address and uses a parent email address who is a current client as well?  They do not have an additional email address.  Also, how to have both parents sign the informed consent?  Thank you!

    How can I create a minor client who does not have an email address but uses a parent's email who is ALSO a current client?  I have many situations like this and the platform won't allow the use of the same email even to include said parent as a contact. Inefficient and frustrating.

    Hi Everyone, we're now able to support sessions with 3 participants, typically two clients and a clinician! To do this, you can either create a Couple Client Profile and enable email reminders for each member of the couple from their joint file > Edit > Clients > Edit Appointment Reminders > Enable Email Reminders. You can also manually share the link by clicking the appointment in the Calendar > Share Link > Copy Link and send it outside of SimplePractice to the people you'd like to join the session!

    I will be seeing 2 teens of divorced parents. I need to do intake Telehealth sessions with each parent separately. The teens have their own phone and want to do their Telehealth sessions on their devices, not their parents.

    Hi Eric,

    Happy to help! Make sure that the email address for the mother isn't entered in either son's Client Info tab, or Client Portal tab. Go to the first son's file > Edit, if the mother's email address is listed under Emails, uncheck the boxes to "Send email reminders" and "Email ok." Navigate to the Client Portal tab and click the Disable Access button at the bottom, if Client Portal access was granted with the mother's email address. Now, go to the Contacts tab, add the mother as a Contact. If you've already added her > Manage > Edit Appointment Reminders and enable email reminders with the mother's email address as a Contact, not as the client. 

    Go to the second son's client file > Edit > uncheck the boxes for email reminders and "Email ok." Go to their Client Portal tab > Disable Access. Go to the Contacts tab, if the mom is already added > Manage > Remove Contact. Now, click +Add Contact, use the search bar to find the mom and add her from the pre-existing, linked Contact you just entered for the other son/ brother. When you've added the Contact > Manage > Edit Appointment Reminders > Send email reminders. If you need any additional assistance, please submit an email Help Request to our Customer Success Team so they can investigate your clients' settings!

    Hi Dr. Levy, you can go to the Couple Client's Profile > Edit > Clients > Manage > Edit Appointment Reminders for both members of the couple!
