Hi there, I'd be happy to help. Your reminders will be sent out in the time zone set for your practice under My Account > Settings > Calendar. Let me know if you have any additional questions about this, or anything else SimplePractice. I'm here to help.

Hello, I also have clients in different time zones. Is there a way to set it so that clients view their appointments and schedule in their time zone?

Hi Elizabeth, when booking a new appointment, clients can schedule in their time zone by clicking "Change" below while viewing your availability.

However, clients will see their upcoming appointments in your practice time zone, and not their local time zone. The time zone is clearly listed next to the appointment time, as seen here:

Gillian, so you are saying that clients can click the CHANGE button and not have to do math? This is key for me in deciding whether to go with SP or another. I am in Texas and also licensed in CA and want telehealth to be as confusion-free as possible. Thank you!

Hi Fernando, that's correct. If a client is scheduling with you in the Client Portal or using the Booking Widget, they can adjust the time zone on your schedule to view it in their local time zone.

    Hi Gillian,

Is there any way that I can change the time zone for my clients within their client portal?

Hi Patricia, there isn't currently a way for you to change the time zone for clients in their Client Portal. However, clients can choose their home time zones themselves when scheduling appointments with you.

    Hi!

I do all my own scheduling for clients, so my question here is simply around appt. reminders.  I do TeleHealth in CA and IL (I am located in CA), so I want to make sure my IL clients get appt. reminders that say the right time for them on their end (CST).  If the appt. reminders say PST for my CST clients, I know it will cause a lot of confusion around appt. times, and I'm trying to avoid this.

Please let me know if there's a way for my IL clients to receive their appt. reminders that say the correct appt. time for their time zone.

    Thank you!

    Hi Gillian!

I have the same issue that Lisa stated above, I am licensed in CA and Texas and see clients in both states using TeleHealth (I am in CA currently).  I schedule them to avoid confusion but I am frequently finding myself confused since I cannot figure out how to set my calendar for half the week in PST and the other half in CST.  My clients are confused when receiving reminders in the wrong time zone.

Is there anyway to create two separate calendars, say one in a certain timezone Mon-Wed and another timezone Thurs-Fri?

Thank you so much for your help!

Hi Lisa and Jacqueline, I'd be happy to help with this. Currently, SimplePractice only supports sending clients Appointment Reminders in the practice time zone set as the default under My Account > Settings > Calendar. Additionally, SimplePractice does not support setting multiple time zones as default on your main Calendar.

One recommendation is to add a reminder for your clients to double-check their appointment times and time zones in their reminders. You can edit the text of your reminders under My Account > Settings > Client Reminders.

    Hi Gillian,

Thank you for your response to clarify this.  While I appreciate having the option to set a customized reminder to remind clients to check their time zone, I just know this would still cause confusion for my clients in other time zones, and would lead to clients showing up for their appt. at the wrong time.

Is there any chance this multiple time zone feature will be coming in the future?

I would like to provide support for a time zone feature in which a client's schedule/calendar will be automatically updated to their local time zone, with an indicator of their current time zone and option to change it. I manage a group practice which provides services in two states and it's becoming complicated since we have two clinicians in one time zone, and one in another time zone. I attempted to set the time zone to my time zone (practice owner), I even discussed this change with clients and send reminders, but it still led to confusion and clients being late. I have since changed the time zone back to the majority of client time zones as a short-term solution.

Thank you for weighing in on this, Elizabeth!  It sounds like there's several of us out there using Simple Practice in multiple times zones, and that a multiple time zone feature would be very helpful for our practice and our clients.

I have to use Google calendar so I can see my time zone for clients while my iCal has the clients time zone.  Why use multiple calendars? It's a little crazy that SP can't get this one sorted out during this pandemic when therapists are using tele-therapy and seeing clients in multiple time zones. Can we see some progress with time zone support for clients so I can see my own time zone while I set it for clients to see their time zone with reminders?

Hi Everyone - Thank you for your contributions to this discussion. Since Elizabeth posted this to our Ideas and Suggestions Board, we've been exploring ways of implementing this feature. Although we're still in the research phase, I'd encourage you to continue commenting on and engaging with this idea, or likeminded ideas on our board. We'll update the status on the Ideas and Suggestions Board if it changes.

At the time there is no more information I can provide on our plans to customize time zones for client reminders. I'm going to close this thread for additional comments. Please continue to stay engaged with this ongoing conversation on our Ideas and Suggestions Board, here: http://simplepractice.uservoice.com/ , or on Elizabeth's post, here: https://simplepractice.uservoice.com/forums/918553-simplepractice-feedback/suggestions/39533128-automated-timezone
