Sending appointment reminders by hand
AnsweredI booked a pt through the calendar, was not promoted to send an apt confirmation. They will also not receive a reminder because the apt is <24 hours in advance. How do I send an appt reminder (or confirmation) by hand? Pt needs to know where my office is. Thx

Hi Anna, to send a time-of-scheduling Appointment Reminder, visit My Account > Settings > Client Reminders and toggle time-of-scheduling Appointment Reminders on at the top of the page. Then, ensure your client is set up to receive Appointment Reminders on their Overview page > Edit Details. Now, when you schedule or reschedule an appointment for that client, you'll be prompted to send them a reminder for the appointment. Gillian, my client wants text only appt reminders, but does use her email for portal access. When I set up the appt in the calendar it asks me to send the text reminder as I expect since I set the reminders up this way. But when I access the calendar appt later and try to share the link again (in case client needs a resend of text), it only provides the email choice to send appt reminder. I can't find this dilemma solution in Help. Help! Thank you. Karen

Hi Karen, I'd be happy to help. Clients will need to be enrolled in Email Reminders to receive their Telehealth link automatically via email before the scheduled session. Let me know if you have any additional questions about this, or anything else SimplePractice. I'm here to help.

I would like to send a client a manual appt. reminder that wasn't sent automatically.
The explanation given wasnt helpful. it stated " toggle time of scheduling Appt
Reminders" on top of the page...doesn't make sense...still couldn't manually send a same day reminder for the link to video session.

My question is similar. I’d like to know how to manually send a last minute appt reminder via text for a non video appt. I don’t want to change my reminder settings for all my clients. I just want to send a reminder at the last minute to one client. I can do this with video appts easily from the calendar, but for this client It’s a telephone conference appt so I have it set to unassigned (Bc it’s not in my office either). When I open the appt on the calendar I do not have the option to send a reminder. What is the work around besides just texting them from my phone w a personal reminder? Thanks!

There is not currently a way to manually send a reminder for an existing non-Telehealth appointment.
I encourage you to add this idea to our Ideas and Suggestions board. Posting on this board means that members of our Product Team, as well as all members of our Community, have transparent access to review your suggestion. This board is one of our most important resources for understanding which features will have the most value for our community.
Note that you can set up your account to prompt you to send an appointment reminder at the time that you create or reschedule an appointment. To enable this prompt, go to Settings > Client Reminders > enable Prompt to send reminder when creating/rescheduling appointment.
