video office booking
Answered

Hello,

I am in need of assistance with helping my clients schedule video office when scheduling their appointment. I thought there was a drop down box where they can choose which office but I don’t see it. Please help. Clients want to schedule appointments via video conference but I am lost on how to instruct them on how to do it. It is especially important since it's the only way to see clients now due to COVID-19. I hope you can help. Thanks in advance.

Hi Veronica, I'd be happy to help. To allow online booking for Telehealth, ensure that you have Availability blocks on your Availability Calendar with the Video Office location listed. You can add blocks that overlap with your in-office Availability or simply change your existing Availability block's location.

Hi, I would like to ONLY show my video office in the online portal. Right now, I can only get this to happen for one service (New Client Initial Appointment). I would like EVERY service I offer right now to have ONLY the video office as a location option during online booking. What do I need to do to keep the physical office location from ever showing up?

Hi Camille, to ensure that your Video Office is the only office available for booking, remove all Availability blocks for your in-person location on the Availability Calendar, and ensure that other Service Types are selected on the existing Video Office Availability blocks on your Availability Calendar.

Thanks for the quick reply. So, the in person office location will display EVEN if I have set my availability so that the service selected is only available in my video office?

Here's my confusion. I have two services that are available for new clients to book. We'll call them Service A and Service B. When a new client uses the booking widget clicks on Service A, the only location option they are given is the Video Office. When they click on Service B, however, they are given both my in person office and my video office, even though neither Service A or Service B is included in any in person office availability blocks.  I want both Service A and Service B to work the way Service A currently does.

I do not want to delete my in person office availability altogether because I have Services C, D and E that ARE available in person; they are simply only bookable by existing clients within the client portal and that's fine with me.

Thank you for your help with this issue!

Happy to help, Camille. The in-person location will display on your Client Portal even if you have no Availability set up for it. You can adjust the services that are available at your in-person location on the Availability calendar - simply click the Availability block for your in-person office and uncheck Services A and B as available at that location.

Hi, Is there a way to change "Video Office" to read something else? Such as Telehealth?

Hi Kasia, not currently, although we are working on better customization options for the Client Portal.

Gillian, Thank you - this has been a helpful conversation.  I'm also wondering about doing group therapy via video office.  Does this allow more than 1:1 videoconferencing?

Hi Suzanne, happy to help. SimplePractice’s Telehealth platform does not currently support group and couple’s sessions. We are actively working toward this functionality, and you can subscribe to updates by voting on our Ideas board here: https://simplepractice.uservoice.com/forums/918553/suggestions/36553852

When I schedule a patient for teletherapy and I click on my "camera" icon, I can see my image but the patient sees nothing. The instructions say send link. How and what link do I send and what does the patient need to do to enable the interactive process?
