Manually send link to invoice rather than email PDF?
AnsweredHi -
I manually generate invoices each month.
Rather than emailing the invoice, is it possible to email them a link to log in to the client portal?
Thank you.

If I have "Notify client when new invoices are available" checked in
Billing & Services / Settings / Email billing notifications
Does this work if I manually create an invoice? When would the system generate the email? I have it set to "send email with link to client portal"

Hi Allison, yes, SimplePractice can send an email automatically when a new invoice is created (automatically or manually) notifying the client of the new billing document in the Portal. Select "Notify client when new billing documents are available" under Edit Details > Billing and Services > Email Billing Notifications. Emails are sent according to the timeline you've set under My Account > Settings > Billing and Services under "Billing document delivery delay." Let me know if you have any additional questions about this, or anything else SimplePractice. I'm here to help.

Hi Allison,
To add to Gillian's information, if you'd like to change the default setting for how billing documents are delivered to new clients, you can go to My Account > Settings > Billing and Services > Settings > scroll down to the Billing Documents for New Clients section > in the Email billing notifications dropdown, select Send email with link to Client Portal, as shown in the attached image > click Save.
If you'd like to update this setting for an existing client, go to the client's Overview page > click Edit beneath their name > click the Billing and Insurance tab > in the Email Billing Notifications dropdown, select Send email with link to Client Portal, as shown in the attached image > click Save Client.
Feel free to let us know if you have any additional questions.

Just to piggyback off this, I am using a test account to practice. When I manually generate an invoice and email it to the client, it always shows up as an attachment rather than having a link. I have the settings on "send email with link" in both the practice settings and client settings, but it still shows up as just an attachment. Any advice?

Hi Noah, are you manually sending these invoices by hitting the envelope icon to the top right of the invoice, or billing documents, or are you waiting for the system to automatically send the billing documents the night after they're generated? If you're manually hitting the envelope icon, then your clients will receive an email with a PDF attachment for the billing document you're sending. The only time they'll get the email with the Client Portal link attached is if they're opening the email that's automatically generated. If clients are still not getting these emails sent to them automatically, then please reach out to our Customer Success Team to investigate further. Click here to submit a Help Request.

Hi, this was my problem as well. It would be REALLY helpful if SP included a note next to the option of notifying clients when new invoices are available that billing documents sent manually will be sent as PDFs. I've wasted quite a bit of time with tests trying to figure out why it was still sending a PDF instead of a link to the portal. It would be even MORE helpful if there were a feature next to the envelope icon, such as a LINK icon, to have the billing document sent as a link to the portal.

Hi Everyone, to reiterate what Ayelette said, you'll want to make sure you've opted to automatically "Send email with link to Client Portal" so that your clients will be prompted to login to the Client Portal to view and pay for their invoices. If you're just sending them invoices as attachments, they won't be linked to the Client Portal and can't pay for their bill directly from the PDF attachment. For existing clients, go to their client file > Edit > Billing and Insurance > under Email Billing Notifications select "Send email with link to Client Portal," then check the box to "Notify clients when new invoices are available." To automate these settings for new clients you add, go to your Settings > Billing & Services under Default Method of Notification choose "Link to Client Portal" and check the box to email clients when invoices are available. If you'd like us to include a way to manually email clients a link to their Client Portal to access billing documents, please add this feature request to our Ideas & Suggestions Board, here: http://simplepractice.uservoice.com/ !
