Hi Tammy, this is probably because the system recognizes the individual client's file and the Couple Client Profile as a duplicate entry. If your colleagues don't have Clinician with Administrator access then, they probably can't see each other's client lists to merge the duplicate entries for this client. As the Account Owner, you can go to your Clients tab, to the left of your account, use the dropdown menu to select Clients & Contacts and search for the client's name in the search bar. To the right one of the entries listed, hit Manage > Merge with... > check the box next to the other profile > Preview Merge, follow the prompts to eventually Complete Merge. Now the clinician who wants to enable Client Portal access and send forms to the client via their Couples Profile can do so!

What do you do when this happens to your SimplePractice account email address and not a client's portal email address?

Hi Josiah, if you're getting an error message that the email is already in use when you try to add a team member in Settings > Team Members, then that means they've used this email address for another SimplePractice account. Many email providers have modifiers you can use to distinguish email addresses without creating a new email account. All modified email addresses will be connected to the same inbox. Alternatively, you could have the team member give you a different email address to use. Here's more on how to create email modifiers for Gmail: https://support.simplepractice.com/hc/en-us/articles/360038866472-Adding-team-members-or-clients-using-the-same-email-address

I get this same message when I’m trying to send a new form to the parent of a minor client.  The parent is only listed as a contact for the minor client, however it won’t let me send her a form on the client’s account for which she is a contact.

Hello - I am getting this message when I attempt to create a new client: "Email is already in use by.."

In fact, I don't have such a client in my contacts, so I don't understand the message or what I can do. The client does not have an additional email

I am getting the same message. I’ve never seen the client and trying to send forms. Keeps stating email in use

I am getting that same error with a new client. I know for a fact that her email is not in any other clients profile. Please help. I need to send consents for her to start therapy.
