Documenting missed appointmentsAnswered
When I mark an appointment on the calendar as missed, it still allows me to enter either a progress note or a psychotherapy note.
I’d rather leave a note about a missed visit inside the calendar event, but I want to make sure this won’t cause any issues with insurance or anything. It’s not a “progress note,” surely, but I guess it could be entered as a psychotherapy note since those are mostly private.
Hi Kirk, unless an insurance payer is conducting an audit and requires you to submit medical records for clients, they won't be able to tell that you've added a progress note, or psychotherapy note, to a cancelled, or no-show appointment. If you've marked these appointments "Cancelled," "Late Cancelation," or "No-Show" they won't be included on batch claims you file from Billing > Insurance > Unbilled Appointments. As you mentioned, even in the case of an audit, the insurance company likely wouldn't request access to psychotherapy notes; however, even if you entered an progress note, this isn't a definite indicator to the insurance payer that your client was actually seen the date of the appointment.
