In this article, we’ll explain how to upload the client list spreadsheet to the new SimplePractice account. This is a secure, HIPAA-compliant way of providing the spreadsheet to our team, who will use this spreadsheet to import client profiles.
Important: As the spreadsheet contains PHI, please don’t email the spreadsheet to our team.
This article is part of a series on transferring client data between SimplePractice accounts. To learn how to set up client profiles outside of the transfer process, see Adding a new client.
We’ll cover:
Important: The workflows below can be completed by the transferring clinician, or the Account Owner or practice manager of the new account.
Uploading the spreadsheet to the new account
The client list spreadsheet can be uploaded to a client’s profile in the new account by the transferring clinician, though it can also be completed by the Account Owner or practice manager of the new account.
As a reminder, the spreadsheet will be a CSV file.
Note: To learn more about the client list spreadsheet, see Client list export.
If Demo client is enabled in the new account, the spreadsheet can be uploaded to the Jamie Appleseed client profile. If Demo client isn’t enabled, or the Jamie Appleseed profile is inaccessible, create a new client to specifically upload the spreadsheet to their profile.
Note: If a new test client profile will be created, please make sure this test client has the transferring clinician’s name.
To upload the spreadsheet to the test client profile:
- Navigate to the client’s Overview page
- Click Upload in the top right corner
If the exported client list file can’t be uploaded, see Troubleshooting technical issues when transferring between SimplePractice accounts.
Informing our team after upload
Once this is uploaded, please let our team know in the help request. Our team will use the spreadsheet to set up client profiles in the new account. We’ll send a message in the help request once this is completed.
Next steps
After client profiles are set up in the new account, intake documents can be sent to imported clients. For more information, see: Sending intake documents to imported clients.
