Clinician roles available for team members

SimplePractice offers multiple clinician roles that can be assigned to team members in a group practice. Each role provides a specific level of access, and additional permissions can be granted to support your practice’s needs.

Adding team members is only available on the Plus plan, and the price for added clinicians depends on the number of clinicians in your practice. Important: Team members can’t have multiple clinician roles at the same time, except for Supervisor, which can be combined with another clinician role. Once a team member is assigned a clinician role (other than Supervisor), that role can’t be removed, but it can be changed to another clinician role. Account Owner

The Account Owner is the individual who created the SimplePractice account. This role includes full access to all areas of the group account, including clients, documentation, settings, and reports. The Account Owner has exclusive access to the Plan info settings.

If account ownership needs to be transferred, you can submit a help request for assistance.

Important: Do not share your login credentials with anyone, not even to pass account ownership to another individual. Sharing login credentials to transfer account ownership to another individual can impact the integrity of your signed documentation, reports, and payroll data. This is also a violation of our Terms of Service.


Clinician with entire practice access

This role is commonly assigned to a co-owner of the practice. Clinicians with entire practice access can manage all clients across the practice, including scheduling, documentation, billing, and selected operational tools.

Clinicians with entire practice access can do the following for all clients in the practice:

Team members with this role can view all settings except:


Clinician with full client list access

Clinicians with full client list access can view all clients in the practice while fully managing their own clients.

Clinicians with billing access can only manage care, documentation, and billing for their own clients.

Clinicians with basic access can only manage care and documentation for their own clients.

Supervisor

The supervisor role is designed for team members supervising pre-licensed clinicians. This role is typically added in addition to another clinician role.

On its own, the supervisor role have limited access to the supervisee's clients.

To designate a supervisor and their supervisee(s), see Designating a clinician as a supervisor or supervisee. A supervisor can supervise multiple clinicians, but each pre-licensed clinician can only have one supervisor at a time.

Note: Unlike other clinician roles, the supervisor role can be added or removed at any time.

Additional permissions for clinicians

Account Owners and practice managers can grant additional permissions to clinicians, including the ability to:

  • Unlock progress notes
  • Unlock other documents
  • Unlock diagnosis and treatment plans
  • Secure message with clients

These permissions can be applied when adding or editing a team member. For more information, see Adding and managing team members.

Clinicians with full client list access, billing access, or basic access can also be granted full access to a client under another clinician. For more information, see Granting and revoking clinical access.
