Using the Session volume page

Use the Session volume Insights page to view patterns in attended sessions. To access this Insights page, navigate to Analytics > Insights > Session volume.

Important: Session volume is an operational indicator intended to help you manage your practice schedule. This data is most meaningful when reviewed alongside qualitative clinical documentation and individual case complexity.

The Session volume page has three metrics: Average weekly completed sessions, Shows, and Total sessions.

Note: To view trends that focus on unattended sessions (Canceled, Clinician canceled, Late canceled, or No show), see Using the Attendance rates page.

In this guide, we’ll cover:

Note: This feature is being released in phases. If you currently don't see this feature in your account, it'll become available as the rollout continues.

Overview of the Average weekly completed sessions metric

The Average weekly completed sessions appears by default when you view the Session volume page. This metric tracks the average number of Show sessions completed each week for the metric’s timeframe.

Use the From dropdown to change the metric's timeframe.

Note: This metric supports quarterly and yearly timeframes only. For a quarter or year that’s still in progress, the metric will include completed Show sessions but not upcoming sessions.

If your practice has multiple clinicians, use Filter by to include data for selected clinicians. You can also use View by to group the data by time or clinician.

The graph displays different information depending on whether you group the data by time or clinician. The sections below explain how to interpret each view.

Viewing by time

By default, the metric groups data by time. Quarterly timeframes display data by week, while yearly timeframes display data by month.

You can hover over a point in the graph to view details for that period.

The table in your metric will also show the Total completed sessions, which indicates how many Show sessions were scheduled for a certain date during the time period.

Viewing by clinician

Note: You can only view metrics by clinician if you’re part of a group practice.

If your practice has multiple clinicians, you can view the metric by clinician by selecting Clinician from the View by dropdown. With this view, you’ll be able to see the average weekly number of Show sessions for each clinician within the selected timeframe.

Scenarios that may affect the Session volume page

Below are a few scenarios that may impact the Session volume page.

Note: For additional scenarios that may affect a metric, click the question mark icon while viewing it or click Metric guide in the top right corner of the page.

What if I delete a session or update its date or time?

If a session is deleted, it will no longer be accounted for in Session volume metrics. If a session’s date or time changes, the metrics use the updated date and time.

Note: Events and out-of-office blocks aren’t included in Session volume metrics.

How are group appointments counted?

In a group appointment, the status of an individual within the group appointment will be included in metrics if they’re labeled as No show, Late canceled, Clinician canceled or Canceled.

For example, if the entire group appointment is marked with the Show status, but one individual is marked as Canceled, this will be included as both a Show appointment and a Canceled appointment in your Session volume metrics. It will also be marked as 2 sessions under Total sessions.

Note: If the entire group appointment is marked with the Show status, and all individuals under the appointment are also marked as Show, only one Show appointment will be included in your Session volume metrics. It’ll also be marked as only 1 session under Total sessions.
