Adding and managing clients on iPhone/iPad

You can use the SimplePractice for Clinicians mobile app to add clients, access each client’s Overview page, and view or manage client information and contacts. Below, we'll cover:

Adding a client on iPhone/iPad

To add a client on the mobile app:

  1. Tap Clients
  2. Select the + icon

If the client is an individual, you can enter the following information:

  • The client’s first and last name, as well as what name they go by
  • The client’s phone number and email address
  • The client’s status as Active or Prospective
  • The client’s billing type as Self-pay or Insurance
  • The client’s primary clinician and default appointment location

If the client is a minor:

  1. Tap Minor from the top of the screen
  2. Enter the client’s information as you would for an individual
  3. Tap + Add contact to add a contact
    • Select an existing client or contact, or add a new contact by tapping the + icon
  4. Under Responsible for billing, select the appropriate individual

If the client is a couple:

  1. Tap Couple from the top of the screen
  2. Tap + Client 1 and + Client 2
    • Select an existing client or contact, or add a new client by tapping the + icon
  3. Under Billing type, tap either Self-pay or Insurance
  4. Under Responsible for billing, select the appropriate individual
  5. Under Care details, choose each of the following:
    • The primary clinician assigned to the couple client
    • The location assigned to the couple client

Important: Tap Save after you’ve finished entering the client’s information.


To navigate to a client’s Overview page on the SimplePractice for Clinicians app:

  1. Tap the Clients tab at the bottom of the screen
    • This is accessible from the left of your screen if you’re on an iPad
  2. Search for the client
  3. Tap their name

Note: You can also access the client’s Overview page by tapping their appointment on the calendar, then tapping their name at the top.

From the client’s Overview, you can:

Managing a client’s administrative note on iPhone/iPad

To add an administrative note for a client:

  1. Tap + Administrative note

  1. Add the contents of the administrative note
  2. Tap Save

To further view, edit, or delete an administrative note: 

  1. Tap the administrative note on the client’s Overview page

  1. Tap Delete note to delete the note, or select Edit to edit the note

Viewing and editing a client’s information on iPhone/iPad

If you tap Client info, you can manage the client’s personal information and preferences.

Note: Your team member role will determine which items you can view and customize.

Within Client info, you can add or edit information by tapping fields within each section, including:

Section Fields
Name
  • Client name
    • Make sure to click Save if you're changing the client's name
Contact info
  • Phone number
    • You'll be able to add multiple phone numbers, and toggle on permissions to contact via Voicemail or Text
    • Make sure to click Save after making any changes
  • Email address
    • You'll be able to add multiple email addresses, and toggle on permissions to contact via Email
    • Make sure to click Save after making any changes
  • Physical address
    • You'll be able to add multiple physical addresses
    • Make sure to click Save after making any changes
Demographics
  • Birthday
  • Sex
  • Gender identity
  • Relationship status
  • Tap Show more to manage:
    • Employment status
    • Race and ethnicity
      • You can also add text details about race and ethnicity
    • Preferred language
    • Client notes
    • Referral source
      • Tap on the top right to add a referral source
    • Date first seen
Administrative
  • Primary clinician
  • Default appointment location
  • Clinicians granted access

You can also review and update the Client status:

  1. On the Client info page, scroll down to Client status
  2. Tap the dropdown
  3. Choose Active, Inactive, or Prospective

You can also toggle whether the Client is a minor.

Managing a client’s contacts on iPhone/iPad

If you tap Contacts on the client’s Overview page, you can view the contacts associated with the client.

You can tap the contact’s phone number and/or email address to view options to call or send an email to the contact.

Note: You can’t edit a contact’s information on the mobile app. To do this on the web app, see Managing client contacts.

To add an existing client or contact as a new contact for the client:

  1. Press + at the top right of the screen

  1. Tap the search bar and search for the existing client or contact
  2. Tap Other under Relationship, then select the relationship of the existing client or contact to the client in question

Note: If the relationship is best identified as Other, you can leave this as is. 

  1. If the existing client or contact is an emergency contact, toggle on Emergency contact
  2. Tap Save

To add a new individual as a contact for the client:

  1. Press + at the top right of the screen
  2. Press the person icon

  1. Tap the following fields to enter relevant information about the contact:
    • Legal first name
    • Legal last name
    • + Add phone to add the contact’s phone number
    • + Add email to add the contact’s email address
    • + Add address to add the contact’s physical address
    • Other to select the contact’s relationship to the client
      • If the relationship is best identified as Other, you can leave this as is
    • Toggle on Emergency contact, if applicable
  2. Tap Save
