Annual financial activity report FAQs

Note: The annual financial activity report was previously called the Tax Report.

At the beginning of each year, you can download the previous year’s annual financial activity report. This report contains all billing information for the calendar year, including client and insurance payments, write-offs, subscription expenses, and more.

Important: The annual financial activity report isn’t the same as a 1099-K, or other reports that may be required to file taxes. For more information about the 1099-K, see Accessing your 1099-K form.


How do I generate an annual financial activity report?

Annual financial activity reports are available for the previous two years. To generate your report for one of these years:

  1. Navigate to Analytics > Reports
  2. Click [Year] Annual Financial Activity Report

After clicking the link, you’ll be notified that the report is being generated.

Once the report is created, you’ll receive an email with the link to download the file.

This link will be available for 48 hours. If the link expires, you can generate a new annual financial activity report from your account.

You can also navigate to Settings > Practice > Data export to download the annual financial activity report after selecting it from the Reports page. The link to download from this page will also expire after 48 hours.

Note: You’ll need to be logged in to your SimplePractice account to download the annual financial activity report from the email. This report is only available for Account Owners. To learn more, see Clinician roles available for team members.


What information is included in the annual financial activity report?

In the annual financial activity report, you’ll find the information below:

  • Total payments collected in the year
  • Total expenses in the year
  • Client payments
  • Client write-offs
  • Insurance payments
  • Insurance write-offs
  • Fees for processing credit card charges
  • Credit card dispute fees
  • Credit card dispute refunds
  • Insurance claim processing expense
  • SimplePractice subscription expense
  • List of all payments recorded in your account

I'm not able to read my annual financial activity report because it's showing in code. How can I read it?

If you're using Safari to download and open the annual financial activity report, it may read the file incorrectly. Instead, you can:

  1. Navigate to Settings > Practice > Data export 
  2. Click Ready for download next to your annual financial activity report

  • Open the downloaded file using a spreadsheet program on your computer (for example, Microsoft Excel or Numbers)

Can I remove client information so I can share the annual financial activity report with my accountant?

Information can’t be excluded from the annual financial activity report before downloading. However, once it’s downloaded, you can edit or remove any columns, rows, or information on the report as needed.


Can I download an annual financial activity report for this year?

There isn’t a way to create an annual financial activity report for this year, as the report requires data from the entire year.

If you need information about your payments for a specific time period, you can export your payments:

  1. Navigate to your Billing page
  2. Click Export payments

  1. Select the date range
  2. Select either Quickbooks or CSV
  3. Click Export

This report will list all payments recorded during the selected date range. To learn more, see Reviewing billing activity and transaction history.


If I’m no longer using SimplePractice, can I still request an annual financial activity report from when I had an account?

If you no longer have an account, an annual financial activity report can’t be created. When a SimplePractice account is canceled or expired, we don’t store the account’s data. This is done to protect clients’ PHI per our Terms of Service.

Important: While our terms currently state a retention time of no more than 64 days, we’re in the process of updating this policy and practice.


If I no longer have a SimplePractice account, how do I retrieve my previous subscription invoices?

If you exported your yearly annual financial activity report prior to canceling your account, it’ll include a row for your SimplePractice subscription expense.

If you didn’t export your invoices or annual financial activity report prior to canceling, you can submit an email help request for assistance.


How do I remove Jamie Appleseed from my annual financial activity report?

Jamie Appleseed is a demo client included in all SimplePractice accounts. By default, this demo data is included in the annual financial activity report. To remove it from your account:

  1. Navigate to Settings > Practice > Demo client 
  2. Click Turn demo client off

Once disabled, generate a new annual financial activity report and the Jamie Appleseed data won’t be included.


If I charge credit cards with online payments, will the annual financial activity report include my 1099-K?

If you accept card payments with online payments, you may receive a 1099-K form. 1099-Ks are official tax documents and are separate from the annual financial activity report.

The annual financial activity report will include the total amount of processing fees paid using online payments for the year. You can find this in the Stripe processing expense field.

Can I download an annual financial activity report from more than two years prior?

Annual financial activity reports are only available for the previous two years. Once a new report becomes available, reports older than two years are no longer accessible.

For example, once the 2024 annual financial activity report is available, the 2022 version of the report will no longer be accessible.

You can download billing information from any prior years in your Billing page. The Recent activity, Card transactions, and Billing documents pages all include date range filters and export options.
