Viewing and exporting Secure Messaging records

You can review Secure Messaging conversations in client profiles and export message records for your practice, depending on your role and permissions.

Viewing messaging transcripts

Team members with access to a client’s profile can see a history of the Secure Messaging conversations had between that client, any contacts for the client, and the practice team members.

To view transcripts for a client or contact:

  1. Navigate to the client’s Overview page
  2. Click the Messages icon
  3. Select View conversation transcripts

  1. Choose the relevant conversation participants

If you’d like to save a conversation or a portion of a conversation to the client’s Overview page, you can copy and paste the text into a chart note.

To save Secure Messages to a chart note:

  1. Check the box next to the messages you want to copy
  2. Click Copy

  1. In the Add Chart Note box, paste the text
  2. Click + Add Note

Note: Anyone with access to a client’s profile will be able to view their Secure Messaging transcripts. For more information on team member access levels, see Clinician roles available for team members and Administrative roles available for team members.


Exporting Secure Messaging records

The Account Owner or a practice manager with permission to export client data can generate a complete data export. This includes all Secure Messaging records with clients or between team members.

To perform a complete data export:

  1. Navigate to Settings > Practice > Data export
  2. Click Start export
  3. Select All clients in the practice
    • If you’d like to review Secure Messages associated with a specific clinician, choose All clients for one clinician instead
  4. Choose Complete

  1. Optionally uncheck the box to Require a password to open file
  2. If you previously selected All clients for one clinician, choose the clinician under Select a primary clinician
  3. Click Export

Once these steps are completed, allow some time for the data export to be generated. When it’s ready, you’ll see Ready for download, which you can select to download the export file.

Note: If you required a password to open the file, you’ll also want to select Copy under the Password column.

After the file is downloaded, follow the steps below:

  1. Open the downloaded file on your computer
    • Paste the password if prompted
  2. View the Secure messages folder

Secure Messaging records appear as .txt files. These may include conversations between clients and clinicians, or between team members.
